General Description
The Sailing Program Manager is an important leadership position. This employee is responsible for helping to establish and oversee the general programmatic direction of the Youth Sailing Program while establishing safe boating practices. Craft involved in the program include privately owned Optis, N10s, Lasers and Club-owned 420s. Children in the Youth Sailing Program range in age from 9 through high school. The Sailing Program Manager is responsible for supervising all Sailing Instructor Staff. He/She receives direction from the Sailing Director and reports to the WBC General Manager (GM).

The Sailing Program Manager is a full time (35-40 hrs per week) summer employee paid an hourly rate. As an hourly employee, he/she is required to submit a weekly timecard to the General Manager for approval and all overtime would require advance approval. This employee should regularly work shifts which would enable supervision of the full sailing staff. He/she must be available from Memorial Day through an end of season date to be negotiated with the Sailing Director (generally through the third week in August). No vacation is provided during the eight-week teaching season, from the end of June through the Program Manager’s end of season date.
While on duty, the Sailing Program Manager must wear the uniform specified by the GM (Instructor's t-shirt, khakis or other suitable clothing as specified by the GM). When representing the Club at sailing events and club meetings, he/she should wear the uniform specified by the GM (collared shirt, khakis or other suitable clothing as specified by the GM).
Qualifications & Certifications
The Sailing Program Manager should have extensive sailing and teaching experience. This individual should be highly organized and possess excellent written and verbal communication skills. Employee must be certified in US Sailing Certified (Small Boat Sailing) Level l Dinghy and CPR. Certification fees are to be paid by employee. US Sailing Level II certification is desirable, but not required. Sailing Program Manager must be a minimum of 21 years of age. We seek a candidate with maturity and the ability to make a commitment for multiple seasons to provide program continuity.
Reporting/Management Relationships
The Sailing Program Manager reports to the General Manager (assisted by Summer Managers) and is overseen by the Sailing Director.
Primary Responsibilities
Duties of the Sailing Program Manager include:
- Help to develop and implement the sailing program curriculum for all levels of Youth Sailing Program. This includes Beginners, Intermediates, Tactics and Race Team.
- Work with Sailing Instructors to form lesson plans for sailing season.
- Help create and schedule special instructional clinics and events.
- Assist in the organization, planning and supervision/chaperoning of field trips. Communicate safety rules and proper behavior to participants.
- Assist in development of criteria for junior sailor class level advancement.
- Assist in development of mid season and end of season report card system.
- Provide written evaluation of sailing program with specific suggestions, ideas and long term goals.
- Communicate effectively with sailing staff to ensure implementation of program goals and curriculum.
- Listen to and incorporate, if appropriate and beneficial, the ideas and suggestions of the staff.
- Actively observe and participate in the program and special events while providing daily feedback.
- Review daily written instructor lesson log.
- Conduct end of season instructor interviews.
- Organize, schedule and run preseason Sailing Instructor and Junior Sailing Instructor training under the direction of the GM and Sailing Director. Training sessions to include:
- Review of instructor roles and responsibilities.
- Proper use of Queen (RC/instructor boat) and whalers.
- Proper care and storage of the Club 420's.
- Maintenance, safety and cleanliness of dock area.
- Communicate effectively on a regular basis with General Manager and Sailing Director.
- Accept direction from GM and Sailing Director while taking initiative to offer ideas to develop and implement a successful program.
- Coordinate registration information and additional paperwork with Sailing Director and office staff.
- Assist General Manager and/or Winter Manager in training maintenance staff and summer managers on issues pertaining to powerboats and the waterfront.
- Bring employee issues or problems to General Manager and/or Sailing Director before potential problems escalate.
- Attend weekly staff meetings.
- Communicate effectively on a regular basis with junior sailing program participants and their parents.
- Engage and encourage junior sailors.
- Answer questions parents have about their child or the program either verbally or by email.
- Send weekly sailing program updates to all enrolled families from the WBC email account.
- All email correspondence related to the WBC sailing program must be sent through WBC email account.
- Schedule working hours for Sailing Instructor Staff
- Assign work shifts in an equitable manner in accordance with employee policies.
- Incorporate scheduling needs for special events including sailing regattas and field trips. Review WBC club events calendar with the General Manager.
- Communicate potential overtime issues to GM before they occur (i.e. if employees switch shifts due to illness etc.)
- All work schedules are subject to approval of the General Manager.
- Supervise sailing instructor staff in the teaching of sailing lessons.
- Participate in open dialog and provide ongoing feedback to staff on ways to improve teaching techniques.
- Establish protocol for the rigging and de-rigging of boats, seeing that they are neatly and properly returned to their moorings.
- Ensure that teaching is in accordance with U.S. Sailing Instructor Guidelines.
- Enforce private lessons/assistance policies with staff. Sailing staff may make private arrangements for lessons or assist members in hauling boats. This must be done off the clock and the WBC assumes no liability for such services.
- Supervise sailing instructors in following water safety procedures.
- Ensure safe use of boats according to WBC policies.
- Check that the Queen is equipped with all necessary safety rescue, and instructional equipment.
- Enforce WBC boating rules in accordance with policy in rear of Membership Directory.
- Supervise maintenance of boats and areas used by sailing staff and program sailors.
- Coordinate and assist in pre-season and post-season maintenance of junior sailing equipment.
- Program area must be clear of related trash and gear by end of program day.
- Rowboats used during sailing class must be clear of related trash and gear by end of program day. Rowboats will be bailed on mornings after an evening rain. Otherwise, maintenance staff is responsible for bailing boats each evening before club closing as well as throughout the day.
- Motorboats used during sailing class must be clear of related trash and gear by end of program day. Alert GM and/or Summer Managers to any required motorboat repairs.
- The locker room must be supervised at beginning and end of lessons. Ensure that the area is clean and sailors store their gear properly.
- Instructors are responsible for cleaning up after themselves in any areas of the club that are used.
- Assist in planning and attending regattas.
- Help plan, coordinate and supervise Swanson/Opti Cup, Dillon/Opti Challenge, Generation and Raphael Regattas in cooperation with Opti, N-10 and 420 Fleet Captains.
- Help plan and coordinate end of year Class Regattas. Report results to Sailing Director and office staff for trophy records.
- Help plan, coordinate and supervise the hosting of any regattas involving guest clubs/sailors if required.
- Help plan and coordinate away regatta participation.
- Provide coordination and supervision of Sailing Awards Night.
- Participate in making trophy nominations.
- Verify that trophies/awards are consistent with racing results.
- Help to coordinate summer sailing slide show.
- Help to coordinate Sailing Instructor program class presentations for each level.
- Help to coordinate presentation of trophies and awards by sailing staff.
