General Description

The Swimming Program Manager holds an important leadership position on the WBC staff.

Responsibilities include:

  • Management of overall operations of the WBC Pool Facility and maintenance of pool safety and cleanliness.
  • Oversight of the WBC Swim Team
  • Management of the Lifeguard/Swimming Instructor Staff

The SPM will be assisted by the Senior Lifeguard and by the Swim Team Coaches.

As a leadership position on the WBC program staff, the SPM should be a role model for staff and participants in the swim programs, exemplifying the key characteristics we expect of our employees: Commitment, Respect, Responsibility and Cooperation. In addition, the SPM should be a mentor for sportsmanship and team spirit to participants on the swim team. While on duty and when representing the club at swim meets and club meeting, the SPM should wear the uniform specified by the General Manager.

The SPM is a summer employee (approx. 30 - 35 hours/week), paid an hourly rate. As an hourly employee, the SPM is required to submit a weekly schedule to the General Manager for approval and all overtime needs to be approved in advance. The SPM should be available from mid-May through an end of season date to be negotiated with the Swimming Director.

Qualifications & Certifications

The SPM must be certified in First Aid and CPR/AED. Teaching and coaching experience is considered very beneficial. Knowledge of HY-Tek swim software is a plus. Applicant must be at least 25 years of age.

Reporting/Management Relationships

The SPM reports to the General Manager (assisted by the Summer Managers) and is overseen by the Swimming Director.

Primary Responsibilities

  1. Management of overall operations of the WBC Pool Facility and maintenance of pool safety and cleanliness.

    Assist the Swimming Director, Winter Manager and General Manager with Pre-Season Planning & Preparations:

    • In the pre-season, work in cooperation with the Swimming Director to develop the Season Calendar of events.
    • Attend league meetings in the pre-season to develop the Swim Meet schedule (making certain there is no conflict with the current WBC events calendar). Clarify League rules and regulations that need to be communicated to WBC Swim Team participants and their parents.
    • Work with Winter Manager and General Manager to organize successful opening of pool facility.
    • Work with General Manager and Associated Pool to organize and run staff training and orientation. This training should take place on a date prior to Winchester High School graduation.

      Training session should include pool cleanliness procedures:

      • Maintaining proper pool water quality (testing, chlorine, etc.).
      • Completing chlorine supply report and notifying GM when supply is low.
      • Opening and closing the pools.
      • Cleaning the pool decks so it is free of trash, spills, etc.
      • Daily GM checklist of pool deck procedures.
    • See additional in-season cleaning/maintenance requirements under Management of the Lifeguard/Swimming Instructor Staff on page 4.
    • Order colored wristbands for members and guest.
  2. Oversight of the WBC Swim Team
    • Organize Swim Team and Swimming Lesson sign up at Swimming Orientation night, working under the guidance of the Swimming Director:
      • Be present to convey the expectations for Swim Team participation, including all rules and regulations which must be met.
      • Develop a handout to distribute to Parents that set clear expectations for the season.
    • Working under the guidance of the Swimming Director, organize and attend the Swim Team Suit fitting night following through with the vendor arranged by the Director.
    • Early in the season, schedule the photographer for a team picture, if so determined.
    • Check the inventory of Swim Team supplies and alert GM if new items are needed: Timers, ribbons, bullhorns, clipboards, etc.
    • Oversee the Swim Team Coaches:
      • Meet with the GM and Swim Team Coaches to communicate expectations to the individual in that position prior to the start of practices. Conduct a similar mid-season discussion with the GM.
      • Oversee and schedule hours for the Swim Team Coaches under the supervision of the General Manager.
    • Organize and oversee the Swim Team practices & meets:
      • Typical swim practices/schedule. Subject to change.
        • 8 am - 9 am - older swimmers
        • 9 am - 9:30 am - younger swimmers
        • 9:30am - 11:30 am - administration/meet & event planning
        • 11:30 am - 12:30 pm - swim practice
        • Swim meets - weekly, typically on Wednesday.
        • Relay meet at season open, Championships at season end.
      • Utilize/delegate to the Swim Team Coaches as per above.
      • Program should include:
        • developing individual strokes, turns, starts, finishes
        • teaching sportsmanship
        • fostering team spirit
        • modeling appropriate team behavior
      • Ensure that meets/line ups are organized by the Swim Team Coaches
    • Oversee special events & field trips:
      • Oversee and attend Swim Team events (i.e. ice cream social, pizza or movie night), working under the supervision of the GM (and the Swimming Director where the GM deems appropriate).
      • Oversee Field trips (i.e. Canobie Lake, Baseball game, etc.), working under the supervision of the GM (and the Swimming Director where the GM deems appropriate). Coordinate with the Sailing department where appropriate. Arrange for appropriate supervision/chaperoning and communicate safety rules and proper behavior to participants.
      • Oversee awards night, in coordination with the Swimming Director - video, trophies, and food. Strive to get all swim team participants pictured in the audio-visual presentation. Distribute DVD to members at cost.
    • Communicate regularly with the General Manager:
      • Attend weekly staff meeting.
      • Bring any employee issues or problems to the General Manager before problems escalate.
  3. Management of the Lifeguard/Swimming Instructor Staff
    • Schedule of Swim Staff hours, subject to the approval of the General Manager:
      • Schedule staff hours, in accordance with Lifeguard work schedule polices (see below.)
      • In accordance with Employee policies, work shifts should be assigned in an equitable fashion to lifeguard employees.
      • Be on duty throughout the work schedule to allow for full supervision of the program.  This should include supervising Junior Guards to provide guidance, and gauge their ability and potential.
      • Review the WBC Club Events calendar with the GM to plan for swim staff scheduling needs for events such as home swim meets, 4th of July, Labor Day, Ladies Luncheon, Dinner Dance, etc.
      • Surface potential overtime issues to GM before they occur - such as when employees switch shifts due to illness, etc.
      • All work schedules are subject to the approval of the General Manager.
    • Oversee lifeguards in maintaining a safe & clean pool area
      • In the pre-season, confirm pool area safety and rescue equipment & first aid kit is in place and notify GM if any replacement is needed. Monitor this throughout the season and alert GM to replacement needs.
      • Enforce WBC pool safety & cleanliness rules (See back of Membership Directory) - no running, slide safety, no diapers in pool, no eating on pool deck, etc.
      • Oversee lifeguarding of the pool according to Red Cross guidelines and WBC policies (See Policies below).
      • Enforce standards for administering the deep end test in accordance with WBC guidelines. o Work with Sailing Program Manager to enforce standards for administering the Sailing Program swim test in accordance with WBC guidelines.
    • Oversee swimming lessons:
      • Process lesson signup forms to create swim lesson schedule, assigning children to lesson timeslots, working professionally with parents as needed to accommodate requests within reason.
      • Instructors should teach in accordance with Red Cross Water Safety Instructor Guidelines.
      • Ensure that swimming instructors create and follow through with lesson plans for the season.
      • Be present on pool deck during swimming lesson times to provide ongoing feedback to lifeguard/swim instructor staff on ways to improve teaching techniques.
      • Enforce private lessons policies with staff.
      • Oversee lifeguards in the completion of Red Cross certificates for program participants.
    • Oversee the Junior Lifeguard staff and Swim Aides:
      • Assure that Junior Lifeguard staff gets trained at an appropriate time before starting work, working in close cooperation with the GM:
        • Pool Opening/Closing Procedures
        • Lifeguarding do's and don'ts
      • Provide guidance to the Swim Aides regarding their role in assisting with swimming lessons.
  4. Other:
    • Make nominations for swim team trophies and club perpetual trophies.
    • May be asked to complete other tasks/projects at the discretion of the GM (i.e. Swim Team Handbook).
